Client Services Coordinator

We are looking for a detail-oriented and service-driven Client Services Coordinator to support our daily operations and deliver an exceptional client experience.

 

Position Summary 

The Client Services Coordinator is the primary administrative point of contact for clients and plays a key role in ensuring our office runs smoothly. This position supports tax professionals by managing client communication, organizing documentation, coordinating appointments, and maintaining efficient workflow throughout the tax season and beyond.

 

Key Responsibilities 

  • Greet clients (in person, by phone, and via email) and provide friendly, professional support. 

  • Manage the client intake process, including collecting tax documents and verifying required information. 

  • Maintain secure and organized digital and paper files using firm software. 

  • Schedule appointments, track deadlines, and monitor the status of client returns and deliverables. 

  • Respond to client questions or route them to the appropriate team member. 

  • Prepare engagement letters, invoices, and other client communications. 

  • Manage e-filing procedures and ensure accuracy of supporting documentation. 

  • Coordinate follow-ups to ensure clients provide required information on time. 

  • Support tax preparers with administrative tasks to improve workflow efficiency. 

  • Help maintain office supplies, reception area organization, and general administrative needs.

 

Qualifications 

  • Previous experience in client service, office administration, or a similar role (experience in a tax or financial setting preferred). 

  • Strong organizational skills and ability to manage multiple tasks during busy periods. 

  • Excellent verbal and written communication skills. 

  • High attention to detail, accuracy, and confidentiality. 

  • Proficiency with office software and ability to learn tax software systems. 

  • Professionalism, reliability, and a team-oriented mindset.

 

Preferred Skills 

  • Familiarity with tax preparation processes and terminology. 

  • Experience handling sensitive financial documents. 

  • Comfort working in a small-office environment where roles are collaborative and flexible.
